Reservation Policy:
- Check-In time is 11:00 AM (IST), and Check-Out Time is 10:00 AM (IST).
- If our Check-In / Out timing does not suit your requirement, kindly inform us in advance. Necessary room allotments can be arranged subject to availability and may be chargeable.
- Cancellation or alteration in bookings is allowed, but prior information is required at least two weeks before your Check-In date and may be provided subject to availability. Please refer to our Cancellation Policy.
- A valid government-issued photo identity and address proof are required for the Check-In procedure. PAN Card is not accepted as a valid Identity Card. Passport, Voter ID Card, Driving Licence, Aadhaar Card are required for each guest except children below 3 years of age.
- The Credit / Debit Card Holder should be one of the travelers if you have booked with us using any one of these payment methods.
- We reserve the right to cancel or modify reservations in case of fraudulent or inappropriate activity or under other circumstances resulting from a mistake or error.
Rates & Deposit:
- The rates quoted are based on your period of stay and are subject to change based on your arrival and/or departure dates.
- Rates do not include applicable government taxes and Goods and Services Tax prevailing at the time of occupancy.
- The maximum number of guests in terms of adults, children & infants per room is defined in our Tariff Card and official website www.vanbilas.com. One extra adult may be allowed in a room, which will be chargeable. Children who are 12 or younger sleep in the existing bedding of a room shared with a paying adult. - A cash deposit or a valid credit card is required upon check-in for incidentals, in addition to full payment of room and tax.
- In the event you complete a booking based on an incorrectly posted rate, Vanbilas Resort reserves the right to correct the rate or cancel the reservation at its discretion and will directly contact you to do so.
- All products and services will be charged in Indian Rupees.
Eligible Age for Check-In:
You must be at least 18 years of age to check-in as the primary guest and register for a room.
Check-In and Check-Out Time:
- Check-In time is 11:00 AM (IST), and Check-Out Time is 10:00 AM (IST).
- Indian nationals must present a valid government-issued identification document (except Income Tax PAN card) at check-in.
- Foreign nationals must present a passport with a valid Visa at check-in.
Early Arrival and Late Departure:
- Early arrivals before the normal check-in time may store luggage with the Guest Services Desk or Reception until check-in is available.
- Late check-outs are available on request, subject to room availability. Please inquire at least 24 hours prior to departure for late check-out availability.
- Late check-out between 10:30 AM (IST) to 6:00 PM (IST) may incur a half-day room charge, and after 6:00 PM (IST) may incur a full day room charge.
Group Reservations:
For group reservations of more than 8 or more people, please submit your inquiry on our website or email at vanbilasik@gmail.com.
Cancellation Policy:
At Vanbilas, we understand that plans may change, and we aim to provide flexibility to our valued guests while managing our reservations effectively. Please review our cancellation policy below:
- Cancellation Fee for Early Cancellation:
- If a confirmed booking is canceled before 60 days of the planned Check-In date, a cancellation fee of 25% of the Booking Amount will apply.
2.Cancellation Fee for Mid-Term Cancellation:
- If a confirmed booking is canceled between 59 days to 30 days before the planned Check-In Date, a cancellation fee of 50% of the Booking Amount will apply.
3.Adjustment against Future Bookings:
- In the event of cancellation, no amount will be refunded in any of the above cases. However, you can choose to have the payment amount adjusted against any future booking within the coming 6 months from the original booking date.
4.No Refund for Last-Minute Cancellation:
- No refund will be made if a Confirmed Booking is canceled on or less than 29 days prior to the planned booking date.
- Reservation Changes or Cancellations by Vanbilas:
- If we have to change or cancel your reservation due to unforeseen circumstances or emergencies, we reserve the right to do so. For the avoidance of doubt, we shall have no further liability to you for any changes to or the cancellation of any booking confirmed over the phone with any of our consultants.
We highly recommend our guests to consider purchasing travel insurance to safeguard against unexpected events that may require cancellations or changes to their reservations.
Refund Policy:
• In cases where your bank account is debited multiple times due to a technical error, or your account is charged with an excess amount in a single transaction due to a technical error, we will promptly initiate a refund. The refund will be processed for the excess amount, excluding Payment Gateway charges.
• If you experience a situation where your payment is charged to your bank account, but the hotel booking is unsuccessful due to a technical error, you have the option to request a refund of the amount. However, in such cases, a deduction will be made for Payment Gateway charges.
• To initiate the refund process, the guest is required to make a formal refund request. The request should include the following information:
• Original payment receipt, if generated at the time of making payments.
• Upon receiving your refund request, our dedicated team will promptly review and verify the details provided.
• If the refund is approved as per the conditions mentioned above, we will initiate the refund process.
• Refunds will be processed using the original payment method used during the booking.
• Refunds will be processed as quickly as possible, but the time it takes for the funds to appear in your account may vary depending on your bank or financial institution.
• Due to technical glitches, if there are multiple debits from the account of the guest , the excess amount(subtracting the original amt) will be refunded to the guests account in a matter of 7-10 days via electronic transaction.
• Under no circumstances will the refund be made by cash.

Further Information:
By proceeding with the reservation, you agree to allow Vanbilas Resort and its agents to collect, use, and disclose your personal data for purposes of administering, managing, and maintaining your customer relationship with us and complying with applicable laws and regulations.
Hotel Rules and Management Policies:
To make your stay pleasant, the Management requests your cooperation in observing the following as an agreement between the guest and Vanbilas Resort:
Tariff:
The tariff is for the room only and excludes government taxes. Meals and other services are available at extra cost. For room tariff information, please contact the Duty Manager, and guest registration forms must be signed upon arrival.
Settlement of Bills:
Bills must be settled on presentation, and personal cheques are not accepted.
Company’s Lien on Guest’s Luggage and Belongings:
In case of default in payment of dues by a guest, the Management shall have a lien on their luggage and belongings, and may detain and sell or auction such property without reference to the guest to recover the amount due.
Departure:
Check-out time is 10:00 AM (IST). Please inform the reception if you wish to retain your room beyond this time, subject to availability. Normal tariff rates will apply for extended stays if the room is available. Failure to vacate the room on time may result in the Management removing the guest and their belongings from the room.
Luggage Storage:
Guests may store luggage in the luggage room, subject to availability, at their sole risk as to loss or damage. Luggage may not be stored for over 30 days.
Guest’s Belongings:
Please lock the door when leaving or going to bed. Electronic safety lockers are provided in the room for storing valuables. The Management is not responsible for any loss or damage to guest belongings.
Pets:
Pets are not allowed within the Vanbilas Resort Campus.
Hazardous Goods:
Bringing hazardous or prohibited goods into the hotel premises is strictly prohibited. The guest shall be liable for any loss or damage caused by such articles or as a result of negligence.
Damage to Property:
Guests will be held responsible for any loss or damage to hotel property caused by them, their guests, or anyone for whom they are responsible.
Management’s Rights:
Guests are expected to conduct themselves respectfully and not cause any nuisance or annoyance within the hotel premises. The Management reserves the right to request a guest’s immediate vacation of the room or other areas without notice and without assigning any reason.
Relation between Management and Guest:
No tenancy or sub-tenancy rights are created for any guest or resident or visitor. The Management shall be deemed to be in full possession of the hotel premises.
Government Rules and Regulations:
Guests are required to abide by all applicable acts, laws, and government rules and regulations.
Photographs and Videos:
Using photographs and videos taken in the resort for commercial or public purposes is illegal and subject to prosecution.
General Provisions:
The Management reserves the right to add, alter, or amend any of the above terms, conditions, and rules, which are an abstract of the lodging act.
By accepting and proceeding with the reservation, you agree to comply with the above terms and conditions set forth by Ik Resort Private Limited – Vanbilas.
